Email organization

I recently downloaded MailTags 2.0 Beta for Mail.App. It allows me to assign meta data to emails. I can use it to assign a project name, keyword, notes, deadlines, and more to each email. I then use that information for smart folder categorization.

Rather than create a bunch of local mail folders , I’ve created only a few. That helps increase the speed of the smart folders when you first click on them because mail.app doesn’t have to cycle through as many folders to populate according to your rules.

I also use rules extensively to auto-filter incoming and outgoing emails. For example, I’m working on several projects at once (who isn’t). I have rules that look for keywords that are unique to the project. When a rule is triggered, I add the project name mailtag and other meta data that the smart folders look for.

I’ve also created a smart folder called “Required Action”. Any time I receive an email that requires action later, I add the keyword ‘action’. The smart folder looks for any emails containing that keyword.

I also use Indev’s Act-On to manually file emails using similar techniques.
